How to Navigate; PM Generator

This SOP outlines the steps for producing (generating) a PM work order.

Below are the guidelines.

For training purposes, the screenshots are in Aim Test.

The PM generator uses information from the PM template, the master asset profile, and the scheduled/ projected dates of the assets on the template asset screen to create pm work orders

Navigate to the Workdesk screen and select Preventive Maintenance.

Navigate to the Preventive Maintenance menu channel and select PM Generator.

Select new.

PM Generator: Aim defaults a system generated number. Do not change this number.

Enter a description such as a month-end date, shop, or pm information.  Example: MAY, 2025 AHU ANNUAL

Click on the calendar icon.

Add the end date.

This date is how far into the future the PM generator will produce PM work orders.

PM generation can be done monthly, weekly, daily, etc., based upon a department or organizational preference.

Recommended: generate through the month's end.  In the example, the month end is May 31, 2025.  

Important: This date is required to be in the future.

When creating a new PM generator record, nested PM defaults to No.

The work order generation process will create a separate work order for each frequency.

PM generation  “Filter By” defaults to Template Phase.

Do not change this.

Various filters can be chosen for PM generation based on the preference of a department or organization.

Important: Do not leave all filter options blank when generating PM work orders.

If no filters filter options are chosen, PM work orders across all templates in Aim will be generated.

This will overload Aim, and all departments or organizations' PM templates will be generated based on the end date chosen.

The most often used filter options are template, shop, asset type, and asset group.

Other filter options are asset, region, facility, property, and location.

Note: “Filter By” defaults to Asset. Do not change this.

In this example, the filter option will be Template.

Click on the magnifying icon on “Template”.

Select search.

Enter AHU.

Select execute.

Select the name of the template “AHU”.

Note: The work orders have not yet been produced.

The final field indicates No.

This screen allows a preview for any edits or changes before generating work orders.

Click Generate.

A generating message will appear on the screen until the work order generation is complete.

The scheduled PM work orders have been generated/produced.

The work order numbers will be displayed under the Work Orders channel.

Note: if no problems have occurred, the “Final” field will indicate yes.

Note that since the work order grouping was property by template, all five assets on the template asset phase in the PM Template now appear as five phases on one work order for the one property.

Each asset on the property by template is a phase on the work order.

This example demonstrates if one or more red boxes where required that require data have not been entered.

Checkpoint 003 has no data.

If the technician clicks done and tries to change the phase status to complete-pending review and then clicks save, the following red error code will appear: “checkpoint measurement required.”

 

Click cancel.
