Office Documents are not displaying the font correctly

If Windows does not have the font a document is calling for, Office will make a best effort guess at an alternate font.  Sometimes, this best effort fails.  When this happens, there are a couple of options, depending on the font involved.

Commercially licensed fonts not owed by the University of Oregon (require payment and licensing)

Commercially licensed fonts are fonts not owed by the University of Oregon which require payment and licensing.  UO must purchase licenses for any files for which we are not licensed. 

In the following example, Word is looking for the TradeGothic font, but has substituted the font with the ID Automation Code 39 barcode font:

As the UO does not own a license for this font, it will need to be substituted for an available font.  These steps are the same for any Office 2016 application.

  1. In the Office application, click File>Options>Advanced and scroll down to the Show document content section.
  2. Click the Font Substitution button.
  3. This will bring up the Font Substitution window and show you the Missing document font and what it used as the Substituted font.
  4. Click the drop-down under Substituted font and choose and available font.  Calibri is recommended, due to its availability across multiple platforms, but any font can be chosen.  Repeat this step for each Missing document font.
  5. Click the Convert Permanently button and then the OK button to update the document with the new font.  
  6. Fonts will now be converted to the font you chose.  The layout may not show as the author intended, due to font weights, spacing and other formatting differences.  You may need to change the layout to fit the content.

Free or Free for non-commercial use Fonts

If the font in question is Free or Free for non-commercial use, please open a ticket with fassit@uoregon.edu.  We will obtain the font, determine its licensing and install.  Please let us know the Font Name and location from which the font can be obtained.  Please note that there are many 3rd party websites that will offer commercial font files for free, but are illegally shared.  We are required to determine the validity of any fonts prior to installation and will let you know if there are any issues.
