KeePass

KeePass is useful for storing passwords and/or sharing them with a team.

Step-by-step guide

  1. Have FASS IT install KeePass on your computer if it isn't already installed

  2. Open KeePass
    1. If it's the first time being opened you will be presented with a blank screen
    2. For an individual KeePass database:
      1. Click on File → New
      2. Click OK after reading the prompt
      3. Select a safe spot to save your KeePass database such as your network Home drive.
        1. If you save the file to your local computer or a removable drive then it could be lost and won't be backed up.
  3. If you have opened KeePass and used it before you will see a login screen with 3 options
    1. For shared KeePass databases you will use the Master Password option (this password should be shared with your team and only changed with the assistance of FASS IT)
    2. For individual KeePass databases you will use the Windows User Account option
  4. Once KeePass is open and you have a database created or selected you can start adding or modifying accounts. The folders on the left side are for categorization  You can right click and add more folders and give them different icons if desired.
  5. To add a new account, click on the category on the left side, then right click in the open area on the right side and select Add Entry.


  6. Fill in the blanks as needed. KeePass will suggest a password if you don't already have one for the account. If you are putting in a known password then you can delete the suggested one and put your password in there. Click the 3 dots (...)to show the password.


  7. Click OK to save your changes. Any changes are saved on the History tab if you need to go back and find an old password that was previously used for that account.
    The account will appear on the right side.
    Continue adding accounts as needed.


  8. There is no difference between shared and individual password lists except if more than one person is in the database at the same time.
    In that case when you go to Save changes you may get a prompt if someone else has made changes and it will ask you if you want to discard your changes or merge them. Usually you want to merge.
