Entering Time for Inclement Weather

There are two ways to enter time for inclement weather, depending on if you worked or not.
🔵 1 - Time Worked

| To enter time worked, it’s easiest to enter it directly on a work order/phase. From the Work List, click on a ||||
If you worked in what qualifies as inclement weather (ask your supervisor), attach your time to the phase you worked on. Clicking on a phase opensIn the Phase Details window. Click , click on the clock icon at the very bottom. When you click on the clock icon, a window opens up with a list of time entries you’ve entered so far for this specific phase.
At the bottom under Add New Entry, click on the drop-down arrow for the field to view the other options. Examples of other Time Type options include on-call, inclement weather (IWCH) and overtime (OT). Click on your selection. Time Type and select IWCH for inclement weather. The Labor Class field auto-populates according to your profile. But if you click on the drop-down arrow, you can view all of the other values under this field. Click on the Work Date field, directly on the date to adjust it. Be sure you’re entering time under the correct date. Select the Work Date you’re entering time for by scrolling to the correct month, day and year. The day of the week appears in light gray at the bottom-center of the pop up screen. Click Done to make your selection, or Cancel to close the pop up. |
🔵 Time Description vs. Phase Notes

The Time Description is optional, but check with your manager to see what they prefer. This gets added to your timecard and not to the phase. If you want to also add it to the phase notes, click Copy to Phase Note, but you can also type in a separate Phase Note, unique to the Time Description. Click on the drop-down arrow next to the Action Taken field to categorize your Time Description entry. If nothing happens, that means there are no options. The Phase Note field adds a note to the phase’s public notes log. Click the dropdown arrow to select the Note Type. |
🔵 Differentials

If the work you performed for this time entry falls under one of the four categories listed under Differentials, click on the check box under the correct option. If the type of work performed falls under one of these categories, you are entitled to additional hourly pay. Check with your manager for a full description of differentials. |

Under the Differentials section, select Essential. As always, enter time as fractions of hours. Examples: 2 hours and 15 minutes = 2.25 Add an optional Time Description. Ask your manager if they have a preference or if you can leave it blank. Make sure you have the correct Work Date selected. Click on the date field if you need to edit it. Hit Save to add this entry to your timecard. You will see that two lines have been added to your timecard for this phase and specific date.
Another way to access the Time Entries feature is by left-swiping a phase from the Work List, and then clicking on Add Time. From here, you can add time the same way as we did in the previous section. This screen acts the exact same way. |

🔵 Notes Log & WO Notes

I entered notes using the Time Entry screen in the optional Phase Notes field. That note is added to the phase’s Notes Log, and can be viewed by clicking on Notes Log in the Phase Details screen. Click on the Notes Log. The last note in the list was entered via the Time Entry feature. Click Close when done viewing. That same note is automatically added to the WO Notes, for the work order this phase is attached to. Click on WO Notes. Anything added to the phase Notes Log is also added here, because it’s relevant to the linked work order. |
🟩 3 - Add Time by Left-Swiping on a Phase

To enter inclement weather as paid leave (not associated with a work order/phase), click on the clock icon at the top-right of your work list. At the top of the window that pops up are your name and today’s date. If you need to enter time for a different date, you can adjust it by clicking on it. Click on Add Leave Entry at the bottom of the window. In the next window, select IWCH from the Leave Code drop-down menu. Make sure the Work Date is correct, enter your Hours, and an optional Time Description. Click Save. Make sure you see the Save Complete confirmation message. Now, 2 hours of inclement weather has been added to the Time Entry List for Friday 2/21/25. Since this is leave time, it’s not for time worked and isn’t attached to a work order and phase. In this instance, you are paid for 2 hours at your regular rate. |
