Xerox devices - Usage Guide for End Users

CPFM uses the University's Fleet Copier program to provide multi-function printing devices. This program provides devices, service calls and consumables (except for paper) for a per page charge, billed to the department index. These devices allow for Printing, Scanning, Photocopying and, in some cases, Faxing from the same standard device.
All CPFM Xerox devices are configured identically; the features, menu layout and other options are the same no matter the device or location.  The exceptions to this are:

  • Address Books are specific to people in their departments or locations.
  • 6655 series units do not print to 11"x17" paper.


The default settings for all print/copy jobs is double-sided, black and white. These options can be changed on a per job basis from either the unit LCD for walk up jobs or the Printing Properties option in the Print dialog on your computer.
The device will automatically open a ticket to replenish Toner, Staples and other consumables (except for paper) and do not normally require an end user to perform any action. If the device is inoperative and you are unsure if a service call has been placed, please feel free to open a ticket at FASSIT@uoregon.edu.

Printing in Color and/or Double Sided from Windows
All changes made in these steps are per job only. You will have to repeat these steps when printing different documents and in multiple applications.

  1. The primary options you will want to change will be under Printer Properties, which is reached through clicking the Printer Properties button or link from the Print dialog. Clicking on the Printer Properties button or link in the Print dialog box will bring up the Printing Preferences dialog. You will start on the Printing Options tab.
    1. (6655 Models will not show Finishing options)
  2. To print single-sided, click on the drop down under 2-Sided Printing and choose 1-Sided Print.  This setting will only apply to the current print job.
  3. To print in Color, click the Image Options tab.  You will see this screen:
  4. Uncheck the box that says Xerox Black and White Conversion.  This setting will only apply to the current print job.




Printing in Color and/or Double Sided from MacOS

  1. Go to the Print option in the application
  2. Click on the 3rd Drop down menu and Choose Xerox Features. This will bring up additional printing options specific to the Xerox units.
  3. To print Double or Single Sided, choose the Paper/Output option.
    1. Under 2-Sided Printing, click the drop down and choose your option.
  4. To print Color or Black & White, Choose the Color Options option.
    1. Select the radio button for your option.



Faxing from Windows
To send a Fax from your computer:

  1. Open your document, bring up the Print dialog box and choose one of the following devices:
    1. FS-Admin01.
    2. FS-PlansRoom01
    3. FS-CPS02
  2. Press the Printing Preferences button or drop down and a dialog-box will open.
  3. In the Job Type drop-down, choose Fax.

  1. The Recipients window will open.

  1. Press the Add Recipient button ( ) to get the Add Recipient window.

  1. Enter a Name and the Fax Number as described above.
    1. Fax Number needs to be entered as the full 11-digit number with a 9 at the beginning (i.e. 915413462299). You must dial the area code, even for local faxes.
  2. Click OK.
  3. If you want a Confirmation page, you can have one printed out or e-mailed to you. Click the Options tab and under Confirmation, choose one of the following:
    1. Disabled. This will not create a Confirmation page. This is the default setting.
    2. Send to Printer. This will print the Confirmation page on the printer.
    3. Send to Email. This will e-mail the Confirmation page to the address you input. Enter the e-mail address in the field indicated.
  4. Click OK.
  5. Click OK.
  6. The print job will be sent to the printer and then it will Fax out from there.



Faxing from MacOS
To send a Fax from your computer:

  1. Open your document, bring up the Print dialog box and choose one of the following devices:
    1. FS-Admin01.
    2. FS-PlansRoom01
    3. FS-CPS02
  2. Click on the 3rd Drop down menu and Choose Xerox Features. This will bring up additional printing options specific to the Xerox units.
  3. Under Job Type, Choose Fax.
  4. The Fax screen will appear.
  5. Click the button.
  6. Enter a Name and Fax number.
    1. Fax Number needs to be entered as the full 11-digit number with a 9 at the beginning (i.e. 915413462299). You must dial the area code, even for local faxes.
    2. Click OK.
    3. If you want a Confirmation page, click the Options tab and click the drop-down next to Confirmation and choose Print a Confirmation Sheet. Do Not Print a Confirmation Sheet will be the default choice.
    4. Click OK.
    5. Click Print to Fax outbound from the device you selected.



Walk up photocopying

  1. Press Copy.
  2. Press the option you wish.
  3. Choose any other options you wish.
    1. If you want multiple copies, enter the number of copies you wish on the keypad. The Number next to the Job Assembly tab will reflect the number of copies entered.
  4. Press the Start button.

Walk up scanning to e-mail

  1. Press Email
  2. Press Enter Recipient if manually entering an e-mail address or Device Address Book.
    1. If manually entering an e-mail address, enter the e-mail address.
    2. If using the Device Address Book, browse and select the name(s) to whom you wish to send.
      1. Press To, CC, etc.
      2. The name will be entered in the Recipients field. Once all Recipients have been entered, press the OK button.
      3. Choose any other settings and then press the Start button.
    3. E-mail will be delivered to Recipients. Please remember that there is a 10MB outbound limit on file size. The sum of all scanned documents must not be over 10MB in total size. If over 10MB, the message will be rejected and you will not get an error message.


Walk up scanning to file folder

  1. All scans are sent to H:\Shared\Scans (smb://files.uoregon.edu/fs-files/Shared/Scans on MacOS).
    1. All of CPFM has Read/Write/Modify permissions to this folder.
    2. This location should not be considered confidential. If you need to scan confidential material, please use the Scan to Email option.
    3. You are responsible for moving your scanned files to their final destination (i.e. your O:\ drive or your department folders in H:\Departments).
    4. All files older than 72 hours will be automatically deleted.
  2. Press Scan To.
  3. Choose your name from the Device Address Book. Choose Add to Recipients.
  4. Once all Recipients have been entered, press the OK button.
  5. Choose any other settings and then press the Start button.

Walk up Faxing
To send a Fax from the front panel of the copier, please do the following:

  1. From the main screen, press the Fax button.
  2. From the Fax screen, press the Enter Recipient button.
  3. From the Enter Recipient screen, enter the phone number you are dialing. It needs to be entered as the full 11-digit number with a 9 at the beginning (i.e. 915413462299). You must dial the area code, even for local faxes. If you are faxing long distance, you will need press the Dial Pause (,) button twice and then enter your Long Distance Access Code (i.e. 918005551212,,12345). Entering the pauses will allow the time needed for the long distance code to be entered.

  1. Press the Add button.
  2. Enter your documents in the paper feeder and press the Start button.
