Get Ready for UKG Ready!

Employees in FASS Payroll supported departments will adopt and use the new UKG Ready Timekeeping and Leave Management system this year. UKG Ready will be fully integrated with the university payroll system to eliminate manual data entry. Departmental payroll administrators and Payroll Office staff are completing system testing. Employees will be trained and allowed to practice using the system this month, and will begin using it as the timekeeping standard starting in September.

UKG Ready Details
If you are a forecast or salaried employee, you will begin using the UKG website to record your time and/or leave starting on June 1st. Â If you are a mid-month employee (including students), you will begin using the UKG website on June 16th. Â At the time that you begin to use the system, you will also submit a final Excel or Forms submission containing your May and/or Mid-June time. We will send out a reminder on this when those dates come.Â

There are various ways to prepare for the transition to UKG Ready, as announced in a recent email and outlined below. If you have not received this email, please contact your supervisor.

- Attend the designated training sessions for your employee group (Exempt, Non-Exempt, OAs and Supervisors)
- Attend the Drop-In Q&A Sessions as needed.
- One-on-one training sessions are available with FASS Payroll. Call the FASS Service Desk at (541)-346-2455 or email fass@uoregon.edu to schedule an appointment.
Attention Student Supervisors
If you have any students with multiple jobs within UKG (with other departments that use UKG), make sure that they view the video regarding changing cost centers. We will cover this in the non-exempt training if students wish to attend. Supervisors can contact Elizabeth to go over the cost center training one-on-one if needed. We will also send a targeted email to those that we know have multiple positions with instructions.

Non-exempt (overtime eligible) employees (including classified, students, and temporary employees) will use UKG's web time entry or the mobile app to clock in and out each day. All employees (both exempt and non-exempt) will request time off in UKG.

Drop-in Teams Q&A Sessions with FASS Payroll
One-on-one training sessions are available with FASS Payroll. Call the FASS Service Desk at (541)-346-2455 or email fass@uoregon.edu to schedule an appointment.
Attention Supervisors and Managers
Supervisors will play a critical role in system adoption. They will log in to UKG Ready each week to review and approve time off requests, change requests, and time entries for their department. They can also enter employee work schedules which will show coverage and exceptions. At the end of each pay period, they will review a report of time entries still pending their approval.
Note for Student Supervisors: Anyone who supervises student employees needs to communicate this information to your students. If you have any students with multiple jobs within UKG (with other departments that use UKG), make sure that they view the video regarding changing cost centers. Contact FASS Payroll to go over the cost center training one-on-one if needed.

UKG Ready Details
Non-exempt (overtime eligible) employees (including classified, students, and temporary employees) will use UKG's web time entry or the mobile app to clock in and out each day. All employees (both exempt and non-exempt) will request time off in UKG.
Important Note: We are required to transition to a new mid-month pay period that will be timed in tandem with the UKG transition. The new pay period will have a cutoff date of the 12th each month. For the first month of using UKG, the mid-month pay period will be for the dates of September 11th to October 12th (adding two extra days to your timesheet). Pay period months thereafter will go from the 13th to the 12th.
