🟩 Phases

The Work List is accessed under the AiM Mobile section of the left menu of your home screen in Anvil. Click on the Work List icon.

The Work List section of Anvil lists all of the Phases that you’re assigned to. Every Phase is linked to a Work Order, and there are usually multiple phases attached to each Work Order.

When you first open the Work List, you will see a screen called All Phases, which we will cover in the next section.

To return to the Home screen, you can click on the stacked 3-lines, aka hamburger icon, at any time.

🟩 Scheduled Phase Assignees

If you click on the person icon, a separate window will pop up, listing Scheduled Phase Assignees and dates for the specific phase listing you clicked the person icon from. Click Close when done viewing.

Another way to view Phase Assignees is by left-swiping a listed phase from a phase listing screen, and then clicking on Assign Person on the right. However, the purpose of this feature is different. As the name suggests, this feature is for assigning additional shop persons to the phase.

After you click on Assign Person, a window will pop up that lists all assigned shop persons on the phase. If you want to Add a New Shop Person, you can click on the drop-down arrow next to Available Shop Persons to see who is available to add.

🟩 Phase Status Update

The Phase Status Update feature adds a note to the phase like the Add Note to Phase Feature, and it also updates the Phase Status.

By default, the current status populates the New Status box. You must select a new status to be able to save, since this feature is for updated statuses.

In the screenshot below, the Notes have been entered (“Test”) and the Note Type has been selected (WCC, aka Work Control Center). But Save is grayed out because the status hasn’t been updated. As mentioned earlier, you must select a new status to be able to save, since this feature is for updated statuses.

From the Phase Notes screen above, if you click on Add Note, the Add Note to Phase will pop up, to add a general note, not another Status Update with note.

To add Status Updates, you will always need to will always need to start from the top Phase Details screen and click on the Phase Status Update icon at the bottom.

Another way to access a phase’s Update Status feature is by left-swiping a listed phase from a phase listing screen, and then clicking on Update Status on the far right.

🟩 All Phases View

When you first open the Work List, you will see a screen called All Phases. In the screenshot below, notice the All Phases icon is highlighted at the top-left. While in this Work List view, you can click on that icon to navigate back to this screen.

At the top-center, next to All Phases, is a number in parentheses, telling how many phases there are in the list.

All tasks are tracked and referenced using a number that is a combination of the Work Order number and Phase number, formatted like in the screenshot, below.

The Creation and Assign Dates are listed on the left of each Phase listing, documenting when this task was created, and when it was assigned to someone.

The Phase Contact is someone who would be able to answer questions about this task, sometimes on behalf of the customer.

At the left edge of each phase listing is a colored vertical bar. These are priority indicators that tell how urgent a phase is. You don’t need to remember the colors, as the Priority level is also written out on the right edge of each listed phase.

The location is usually entered under Location, at the bottom-left (or in this example, included in the description instead). And the Phase Description is found in the middle of the Phase listing.

The Status describes what step the project is at. E.g., Assigned or Work in Progress.

If there’s an Asset associated with the task/phase, the assigned asset number would also be listed.

🟩 PM Phases

When you click on the Wrench icon at the top-left, it will only display PM Phases, or Preventive Maintenance Phases. Preventive maintenance tasks (tracked by Work Order and Phase) are performed on a regular basis to maintain equipment, buildings, and anything else we work on.

Under Priority on the right side of each listed Phase, you can find how often the preventive maintenance is performed. In the screenshot example below, it’s every 14 days.

Some phases will have a green circle next to the Wrench icon that appears at the right of each listing. This means the Status of that Phase is Closed. If the Wrench icon has no mark by it, that means the Status is set to Assigned.

To view details on the asset for this phase/task, click on the blue asset number link. These asset links are populated for these PM Phases, but rarely so, in the All Phases view.
