Time Card Entry Expectations (AiM)

OVERVIEW


General workplace expectations regarding time card entry in the enterprise asset management software AiM. 

AiM is the system of record for Work Management, Accounts Payable, Asset Management, Capital Projects, Contract Administration, Customer Service, Finance, Planning and Need Analysis, Preventative Maintenance, Operations and Maintenance, Project Management, Purchasing, and Time and Attendance. The AiM general workplace expectations are in place to ensure we provide accurate key performance indicators and visibility of our operations through, complete, accurate, and real-time cost tracking and budgeting.  Exceptions to the following details must be discussed and approved by your supervisor.

Expectations for Time Card Entry (AiM) 
  • All Facilities Services Service Center (FSSC) costs (employee time, materials, supplies, contracts; etc.) must be tracked on a work order/phase. 
  • All hourly FSSC employees must complete daily AiM time cards by 10:00 am of the next business day.
    • Daily timecards must total all hours (earned and taken) of their shifts (straight time, overtime, on-call time, comp time, vacation, sick leave, etc.) 
  • Supervisors must approve their FSSC trade employees' daily time cards in AiM by noon of the next business day.
    • Delegation is required when a supervisor is away. This may be a lead worker, coordinator, or another OA.
    • Rejected time cards must be followed up and responded to by the end of the next business day.
    • IWA issues must be reported to Work Control via the WCC note channel in AiM.
  • Planned leave must be entered in AiM prior to the planned leave. Each shop has leave codes allowing time to be entered in advance. 

Examples of planned leave include; 

  • Comp
  • Holiday
  • Jury
  • Military
  • Personal
  • Sick
  • Vacation
  • Unplanned leave must be entered by 10:00 am on the return date.  

Examples of unplanned leave; 

  • Bereavement
  • Campus closures
  • Sick
