FASS Vehicle Maintenance

FASS has two department vehicles (22-06 and 10-23) used for work-related transportation for FASS and SRS employees. This article will outline the check-out process, fueling, cleaning, and maintenance duties associated with this vehicle.

Managing Vehicle Calendar and Checking Keys In/Out

  1. A FASS or SRS employee will reserve the vehicle through the vehicle reservation calendar. You will receive a meeting invite notification.
  2. Check to make sure the car is not double booked. Confirm the request if available, and deny it if the car is already booked.
  3. Contact requester and coordinate a time for them to pick up the key
    1. Confirm they have their driver's certification and it is up-to-date
  4. The key is located in a key lockbox called the Keywatcher located across room 102 in 1715 Franklin.
    1. If the requester has their own code for the keywatcher, they can check the key out themselves. If the requester does not have a code, check the key out on their behalf. 
  5. When the requester returns, they will either check the key back in the keywatcher or return it to you to check back in. Take their gas receipts if they used the voyager card to refuel. 

Vehicle Refueling

10-23 and 22-06 are hybrid vehicles so they don't need to be refueled as often. When the gas level gets low, it can be refueled at the CPFM fuel station.

  1. Check out the vehicle key from the keywatcher and the payment information located in the FASS reception key box (this is a laminated card with a red keychain containing the work order number and pin needed to unlock the fuel pump)
  2. Drive the vehicle to the fuel station located on the CPFM compound and park near Pump #2
  3. Enter the Work order number, vehicle number (1023), pin number, and pump number (2). Once unlocked, fill the tank and bring the car back to 1715 Franklin.

Vehicle Servicing

Periodically the Mobile Shop will send an email requesting the car for routine maintenance (usually an email from Steven Harris) or the vehicle will need to be serviced/washed before its routine maintenance.

  1. If the vehicle needs to be serviced before its routine maintenance, send an email request to workcontrolcenter@uoregon.edu with the vehicle information (FASS vehicle 10-23) and what work needs to be done (engine servicing, car wash, etc.).
  2. Mark the vehicle as unavailable on the calendar and drive the car to CPFM.
  3. Check the vehicle key out from the keywatcher (Sara or Megan can check the key out on your behalf).
  4. Park the car in the back 40 (a parking lot behind the power plant) and walk back to the office.

  5. Inform the mobile shop the vehicle has been brought over. You do not need to give the mobile shop a key, they have their own copy.

  6. The mobile shop will send a follow-up email when the vehicle is ready. Pick up the car and bring it back to 1715. Clear the vehicle calendar to show it is available again. 

Reserved Parking Spaces - Annual Renewal

Vehicles 10-23 and 22-06 and a FASS visitor parking space are reserved through Transportation Services. These are renewed annually by September 30th.
