Team Scheduler - Supervisor (AiM)

Assign and schedule work more efficiently with AiM Team Scheduler

Team Scheduler is a graphical way to look at and visualize daily assignments for shop persons. Users can select and sequence work, add or remove scheduled assignments, and generally see the job assigned to a shop and the shop persons in that shop.  

Work assigned in the team scheduler appears under the clock icon in the Anvil worklist.

Team scheduler gives you the ability to retrieve unassigned work, assign people to it, and add it to their daily schedule — all in one place.

Features include:

  • Filter work by key criteria

  • Sort work by priority, location, status, or assignment person

  • Drag and drop jobs to members of a resource team

  • Block out leave

  • Review and Add notes

Using Team Scheduler in AiM (Not Anvil)

  • From the WorkDesk, under Menu, click on Work Management. On the following screen, click on Team Scheduler.

  • The Quick Filters are the row of drop-down menus along the top. Make your selections for each Quick Filter: Shop, Work Classification, Property, Phase Status, Assigned To and Find Work Order.

  • To the left of the filters, select either the Phases or Leave Codes radial button.

    • Click the Reset button (to the left of the filters) whenever you need to reset the quick filters (except the shop) to blanks.

    • Click the Refresh button (to the right of the filters) to refresh the data any time you adjust the quick filters, including the first time.

  • The search results are initially sorted by the Work Order/Phase column. Change the sort by selecting the double arrows icon right next to the column name, Work Order/Phase. The arrows will turn yellow when you have it sorted.

    • Almost all of the columns have the sort option. They include: Description, Property, Location, Priority, Est Start, Est End, Status and Est Hours.

  • To go to the shop assignments, select the person icon to bring up the Phase Assignments screen. If there are multiple people assigned to a phase, you’ll see the multiple people icon

  • In the Phase Assignments screen

    • Click on the arrows to move highlighted tech back from assigned to unassigned or vice versa.

    • Make sure the box is checked next to the employee you want to set as the primary technician.

    • Be sure to hit Apply after making changes.

  • Select the Edit Icon to view/edit status and estimated hours. Make sure to hit Apply after making any changes.

Step-by-Step Tutorial

Using Team Scheduler in AiM (Not Anvil)

  1. Under the WorkDesk Menu, click on Work Management. Then on the next screen, click on Team Scheduler.

 

 

The Team Scheduler screen will look this way (see screenshot, below) the first time you open it. After this it will remember your Quick Filters from your previous session and use those to populate the screen.

  1. The Quick Filters are at the top. They determine what data will be displayed in the phase listing under it.

  1. Make your selections for each Quick Filter: Shop, Work Classification, Property, Phase Status, Assigned To and Find Work Order (see screenshot, above).

  2. You can display either the Phases or Leave Codes that are available under your filter settings. Just click the radio button to the left of the filters, for the option you want.

    • Click the Reset Button (to the left of the filters) whenever you need to reset the quick filters (except the Shop) to blanks.

    • Click the Refresh Button to refresh the data in the phase listing if you change the quick filters.

  3. Make sure to click the Refresh Button (to the right of the filters) when you have selected info in the search.

    • In the example below, the Quick Filters are set to:

      Shop: BAS Electrical

      Work Classification: Maint/Corrective

      Phase Status: Complete-Pending R

This would be a helpful search if the shop supervisor wanted to see all the work orders in complete pending review and change the status to closing and read/enter notes.

  1. The search results are initially sorted by the Work Order/Phase column.  Change the sort by selecting the arrows the arrows will turn yellow when you have it sorted 

  • The Description box pulls in the phase description. Change the sort by selecting the arrows the arrows will turn yellow when you have it sorted 

  • Property, Location, Priority, Est Start, Est End, Status and Est Hours all have the sort option

  1. To go to a shop assignment select the person icon to bring up the Phase Assignments screen.

  • The multiple people icon means more than one person is assigned

  1. Use the Arrows to move the highlighted tech back and forth from assigned to unassigned. 

  2. Under the Primary column, check the box next to the employee you want to set as the primary tech.

  3. Make sure to select Apply after making changes, so they will stick!

  1. Select the Edit Icon to view/edit status and estimated hours. Make sure to select Apply after making any changes.
