Daily USPS Exports and Meter Reports

Procedures to run the daily USPS export and meter reports.

The daily USPS export and meter reports are run from the EMS Neopost Software on the Metered Computer closest to the back door.

Pulling the reports is a 2 part process:

  1. Part 1
    1. F9 Data Manager
    2. Export Data
    3. Select File – type in previous day’s date (ex: November 17) and select .csv as the file type. Save to desktop.
    4. Choose Transaction from drop down menu
    5. At this point the Available Fields and Fields to Export will populate. When running the USPS Daily, you should only see the following fields. If there are extra, remove them.
    6. Click Select Dates and a calendar will pop up. Select the previous day’s date on both calendars.

    1. F10 Reports
    2. Misc Reports
    3. Click Date Range and a calendar will pop up. Select the previous day’s date on both calendars.
    4. It should automatically be pre-selected to run “Meter Reports” If not, then select from the drop down menu
    5. Display Report (F12)
    6. Once the report pops up, there is an icon at the top left and if you hover over it will say “Export Report” Click on that.
    7. Type in previous day’s date (ex: November 17) before “Meter Report” and select Word 97-2003 .doc as the file type. Save to desktop.
  3. Email files to uomailing@uoregon.edu with the date of the files (November 17) as the subject line from the metered computer.
  4. Open both files from uomailing account. On the excel csv file, sort by column F which is the “Package Letter Type.” Delete all rows containing a UPS tracking (in column M) number beginning with “1Z945769.” These are easily found by scrolling down until you see “P-Custom” or “P-Customer Packaging” in column F. Only delete the items with UPS tracking numbers.

  5. If there was any kind of error the day before where the wrong index was used to run mail, this is where you fix it. Find the transaction on the excel sheet and change the index, or correct whatever it is that needs to be corrected. This must be done before saving and placing in the FASS folder.

  6. Auto sum column H “Total Charges.” This total should match the “Total Meter Postage” on the Meter Report on the word doc. If it doesn’t, there is a problem. Either the excel export was not manipulated correctly or there is an issue from the day before and needs to be investigated.

  7. If both reports match, save them to \\files.uoregon.edu\fs-files\Shared\Budget\Conting1\FASS Mail Services\Postage Accounts\USPS
